Terms and Conditions below are the basis of the contractual relationship between you and Travel West China (hereinafter referred to as “we or us”).
By booking a trip, you agree to these Terms and Conditions and indicate acceptance of these Terms and Conditions except for the additional agreement you made with your travel advisor.
Reservation
1) Upon receiving your booking request, your travel advisor will reply to you within a few hours to start to assist you in building a satisfactory trip plan according to your needs and requirements, and the maximum will not exceed 24 hours.
2) Upon the receipt of your deposit, your reservation is secured. We will process your booking immediately.
3) It is highly recommended to make the reservation 30 days prior to the departure date, especially for the busy season from July to September.
4) Once your booking is confirmed, we will send you a confirmation letter informing you of the details of flights, hotels, tours, etc. If any changes are caused by factors beyond our control such as politics and the natural environment after the confirmation, we reserve the right to make changes and provide you with similar alternative options.
Payment Methods
We accept three ways of payment. A detailed payment guide will be emailed to you by your travel advisor.

→Note about the exchange rate:
The quote we provide is in RMB, and the equivalent in USD is based on the current exchange rate between the RMB and the USD. Due to the exchange rate fluctuation, the quote in USD is subject to slight change, while RMB remains unchanged.
Deposit and Balance
Booking made 60 days prior to departure, 10% of the tour cost plus the airfare/train fare is required, and the balance is paid upon arrival.
Booking made 45 days prior to departure, 20% of the tour cost plus the airfare/train fare is required, and the balance is paid upon arrival.
Booking made 30 days prior to departure, 30% of the tour cost plus the airfare/train fare is required, and the balance is paid upon arrival.
Booking made 15 days prior to departure, 40% of the tour cost plus the airfare/train fare is required, and the balance is paid upon arrival.
Booking made less than 15 days prior to departure, 50% of the tour cost plus the airfare/train fare is required, and the balance is paid upon arrival.
Cancellation & Refund Policy
Should you need to cancel your tour or any portion thereof, your cancellation should be received in writing. Cancellation refunds will be calculated as of the cancellation date which will be effective on the date of receipt by us.
21 days prior to departure: Full Refund (except the cost of service charge paid for the third party, such as flight/train ticket refund charge, hotel deposit)
15-20 days prior to departure: 80% of the deposit refund plus airfare/train fare (except the flight/train ticket refund charge)
7 to 14 days prior to departure: 60% of the deposit refund plus airfare/train fare (except the flight/train ticket refund charge)
Less than 7 days prior to departure: 20% of the deposit refund plus airfare/train fare (except the flight/train ticket refund charge)
No-Show: No refund
We are unable to refund any amount for unused services due to your early departure, late arrival, or missed days on tours once the trip commences.
Change of Travel Schedule/Itinerary
It’s our mission and honor to provide the perfect tour for you as possible as we can. Before your booking is confirmed, alterations to your itinerary are unlimited, and the process is free of charge. We also provide service free of charge if there’s an alternative to your itinerary after you’ve received your booking confirmation letter. However, changes to the departure date or destination may incur cancellation fees. All changes are subject to availability and cannot be guaranteed.
We reserve the right to modify the itinerary of your tour if air or train schedule or surface transportation changes, and/or events beyond its control make such alterations necessary. In this event, any increase or reduction of the tour cost will be calculated and charged/ refunded accordingly. If it is you who request the changes to your tour, then you will be required to pay any additional cost accordingly in advance.
Travel Document
A valid passport with a valid Chinese visa is required for you traveling on our programs. All such documentation is the sole responsibility of yours, though your travel advisor may assist you in applying for the necessary travel documentation upon your request. We accept no responsibility or liability whatsoever for your failure to obtain appropriate documentation.
If you book a tour in Tibet or Xinjiang with us, we are responsible for helping you get the necessary Permit such as Tibet Entry Permit (TTB), Alien’s Travel Permit (PSB), Military Permit, or Xinjiang Travel Permit to certain areas. Luggage Allowance
According to the regulations of the General Administration of Civil Aviation of China, for a domestic flight, any passenger holding an adult or child fare ticket is entitled to the free baggage allowance of 40kgs (88 lbs) for first class, 30kgs (66 lbs) for business class, and 20kgs (44 lbs) for economy class. One bag is allowed free of charge for infants with the maximum dimensions no more than 115cm (45 inches), In addition, a baby stroller (if able to fold) or carrying basket may be checked free of charge. Excess baggage charges are the sole responsibility of yours. There’s an excess baggage charge if the bags exceed the weight limit specified. The excess baggage charge per kilogram is 1.5% of the highest normal direct adult one-way (Y class) fare.
Regulations within China specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft. The following items should not be packed in checked baggage. If a loss of these items occurs due to a passenger breach, the Airlines will not be held liable and will only compensate lost baggage according to their lost baggage policies.

Medical Issues
You must advise us in writing, at or prior to booking, of any physical, emotional, or mental condition that may require professional attention during the trip or may require the use of special equipment. If you require a wheelchair, you need to provide your own small, collapsible wheelchair. Certain features, and certain trips, are not wheelchair-accessible. We cannot guarantee any wheelchair assistance or accessibility in international destinations. We reserve the right to decline any trip participant whose condition, in our opinion, may affect the health, safety, or enjoyment of other participants. Additionally, should a tour participant require or request medical attention during the trip, such attention will be provided by locally available healthcare officials and at locally available facilities. In such events, we will not be responsible for health service costs incurred nor for the quality of medical care or medical services rendered.
Travel Insurance
We offer Tourist Accident/Casualty Insurance free of charge as part of our package. The maximum insured amount is $50,000 per person. You are still highly recommended to purchase full coverage travel insurance from your country of origin. Insurance provided by us is not applicable where only hotels or flights are purchased through us.
Liability & Responsibility
We shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries, or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond our control. Neither we nor any of our affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes.
The owners, operators, and charters of all vessels and transports, i.e. suppliers are independent of us. Our relationship with these suppliers is that of an independent travel agent. We make no representations or warranties concerning the suppliers and we assume no liability for any acts or omissions of any supplier including, without limitation, those involving cancellation of tours/cruises, schedule changes, re-routings, delay, damage, or loss of baggage, property damage, equipment failures, accidents, death or injuries to persons regardless of cause, whether or not any tours sold, services tendered or transportation provided is arranged through us. Accordingly, you will not have any right to claim or recover against us as a consequence of any negligent or willful act or failure to act of any suppliers or the condition or operation thereof. Notwithstanding anything herein to the contrary, the liabilities and obligations of the suppliers to you, and your rights against the suppliers, are subject to any and all terms and conditions of the suppliers’ contract of carriage and any and all governmental laws and regulations bearing upon or otherwise relating to such rights, liabilities and obligations, including, without limitation, choice of law, jurisdiction of disputes, limitations of liability and limitations on the time to file claims. By utilizing the travel services of the suppliers, you agree that you will look to such suppliers for any accident, death, injury, property damage, or personal loss to you or to those traveling with you and that neither we nor any representative of us shall have any liability whatsoever. No person, other than an authorized representative of us by a document in writing, is authorized to vary, add, or waive any term or condition herein, including any term or condition set forth in the preceding provisions.
Many of our tour packages include activities that require care and attention. Such activities include climbing hills, strenuous trekking, rafting, and entering and exiting tombs and caves, etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. We, our employees and agents cannot be responsible for any action or event that occurs after its employees and agents have exercised their duty and taken the necessary care.
Reporting of Incidents
Any abnormal incidents including injuries, service problems, cancellation of a service, or dissatisfaction must be reported to us during the event to allow us an opportunity to rectify the situation or provide assistance immediately. If you want to complain or claim compensation, need to inform us by email, regular mail, or facsimile in writing within 10 days of your finish of your tour. Please attach relevant receipts and substantiating evidence to the letter of claim. We will not be liable for any claims made later than 10 days after you finish your tour.
